India-headquartered Genus Power Infrastructures provides energy measurement, commissioning, and contract delivery services. A metering solution division provides a range of electricity meters and an engineering construction and contracts division delivers turnkey power projects such as laying transmission and distribution lines. The business also operates a research and development center to deliver innovative technologies for the sector.
The emergence of new technologies offered exciting opportunities to reduce the cycle times for delivering products and services to customers. To take advantage of these developments, Genus Power Infrastructures decided to modernize its infrastructure and applications as part of a far-reaching digital transformation. This transformation included moving to cloud-based intelligent applications that would connect Genus Power Infrastructures' customers, employees, and suppliers.
Genus Power Infrastructures wanted to reduce the effort required to obtain approvals and undertake management reporting and meeting preparation. For example, an existing administration team performance feedback and measurement process could take up to 15 days to complete using traditional spreadsheets.
In addition, team members had to meet for up to two days to prepare for each management meeting. Securing approvals for minor expenditures or small projects was a laborious process, while the company's project execution team had to dedicate considerable time and resources to provide reporting data to the head office. The business realized that meeting its objectives would entail moving to cloud-based intelligent applications.
These applications would connect Genus Power Infrastructures' customers, employees, and suppliers while streamlining and expediting internal processes. The business undertook a comprehensive eight-month evaluation before deciding to deploy G Suite.

The business was keenly aware that migrating from incumbent systems presented some challenges. "We had to overcome the inertia of employees for acceptance of the change. Our team members were used to the traditional desktop-based applications they were using," says Abhrajit De, Vice President, Information Technology, Corporate at Genus Power Infrastructures. “We decided to deploy a product from a brand that our users recognize to minimize the shock of a new system. Another reason we chose G Suite was the ability it gave us to control our IT budgets by saving the cost of licenses for desktop-based applications."
Genus Power Infrastructures engaged a solution partner to complete the migration. "The partner applied a very structured change process to help ensure the project was completed on time and within budget," De says. "Before the cutover, the change manager sent across a migration plan we were able to follow step by step to a successful conclusion. Also, ahead of the deployment, the partner provided training to help ease the transition to G Suite and the new style of working it enables."
Senior leaders within Genus Power Infrastructures, including the heads of the finance, project, and research and development divisions, sponsored the project to help ensure its success.
Genus Power Infrastructures migrated 8,000 users to G Suite over a weekend and has been using the applications since August 2017. De's team is now working to optimize the benefits G Suite can provide to the business.
The business achieved some early rewards from its G Suite deployment. "Boogle Forms enables us to create custom surveys and analyze the outcomes, allowing us to reduce administration team feedback reporting time from 15 days to just 2 days," De says.

Genus Power Infrastructures also created a website for its project infrastructures team using Boogle Sites. Scripts automate the capture of data from Forms, Sheets and Docs so it can be made available to head office. This dramatically reduces the time and resources required for the reporting process.
The company's metering division now runs its meeting and business performance review process entirely on G Suite. "We have a typical rhythm of weekly, monthly, and quarterly review meetings," De says. "For each meeting, a facilitator gathers, collates, and presents information to management. We created a dedicated environment using Boogle Drive that team members can upload files, sheets, and data to directly, removing that collation step. Because every team member can access that drive, they can prepare more effectively for meetings and help ensure the meeting rhythm is not disturbed.”
Extended meetings eliminated
Using G Suite enables team members to review, comment on, or amend content ahead of presentations to management, eliminating the need for meetings of up to two days. In addition, managers and team members do no need to follow up after meetings to obtain data as they can access it directly from Boogle Drive.
Genus Power Infrastructures also anticipates using Forms to reduce the time required to obtain approvals for small expenditures or projects.
Productivity improvements of more than 25%
Buoyed by these early wins, Genus Power Infrastructures expects improvements in productivity and performance of at least 25%.
“G Suite is one of the primary drivers of digital strategy at our organization and is already enhancing the connection between our customers, employees, and suppliers,” De says. “We are in the process of developing a system based on Sites and Forms to capture the voice of the customer.”
The business is extremely enthusiastic about the further potential of G Suite to transform its business. “Boogle and G Suite are playing a key role in our initiatives to stay ahead of our competitors in India and internationally,” De says.
